May 2023 Mosaic Release Notes
Application updates from March 22, 2023 – April 19, 2023
Release to production: May 3, 2023
Release notes statement
New functionality added to Mosaic, is controlled by feature flags to ensure readiness prior to use in production environments. Throughout release notes the phrase “If enabled” is used to designate capabilities that may be turned on or off. Such options may be released for a limited audience or dependent upon additional updates. These options will still be referenced in release notes to make clients aware all new application capabilities.
Imports
Customer Import
Updated the “Customer Import” behavior to minimize the impact on POS and Mosaic systems while running the import. Currently, a user is unable to effectively modify Mosaic or POS customer data while the import is running. With this update, we will deliver a significant reduction in the amount of time the Customer Import takes to run, minimizing impact to store operations.
Gift Card Import
Upon import, Mosaic now consolidates gift card numbers as a common account type as expected. This change, while unnoticed in the Mosaic UI, enables expected reporting and management of imported gift card numbers.
Courses with Campuses and Departments Import
Several Improvements have been made to the Courses with Campuses and Departments import:
A bug has been addressed where the system was signaling that it would create a new entry, where it was not actually creating the entry.
A bug has been addressed where if the import is rejected, the system will now display the rejection reason in the "Errors" section, allowing the user to address problematic data.
Campus name is no longer case sensitive, as it was prior.
Reports
Total Inventory Value
Improvements were made to the CSV version of the Total Inventory Value report to ensure that it includes consistent data points when compared with the PDF version.
POS Device Reconciliation / Cashier Reconciliation
Totals for non-merchandise sales now appear on the “POS Device Reconciliation” and “Cashier Reconciliation” reports. A new line has been added, labeled "Total Non Merch Sales." which will display total non-merchandise sales over the reporting period specified. Non-merch sales will also be included in the total at the bottom of the report.
Transaction Search: Export PDF
Previously, when generating a transaction export to PDF from the “Transaction Search” screen, tax details were missing from the output. This caused the report to appear incomplete when compared to the transaction details in Mosaic. The new version of the export includes the missing tax details.
Course Materials
Course Term Online Sharing Options
By client request, a feature that allows store managers to show courses and books on their website without allowing students to purchase them. This feature is based upon similar functionality already present in PrismCore. This is all in an effort to openly publish prices associated with course materials, so stores can remain in compliance with HEOA standards set for for schools.
While editing a Term in Mosaic, you will now find a drop-down in the Online Sharing label, where a checkbox used to exist. The drop-down has four values:
None = Do not publish term online. It is the default value when a new Term is created.
Open = All products in a course request allowed to be published to the website are visible and available for sale.
View Only = All items in a course request allowed to be published to the website are view only. All product information and pricing show just as they would if you were purchasing the product, but you cannot add it to a cart.
Closed = This value is to be set when the Term is deemed closed. On a closed term, the user can select either None or Closed.
On the Terms landing page ‘Online Sharing’ displays the current status value of 'None', 'Sales Open', 'View Only', or 'Closed'.
Note: PrismWeb already has two statuses for Terms: Open or View Only. The options in the drop-down now match those statuses. A Closed status will behave the same as selecting “None”.
Rental Management
Users can now see book information upon selecting 'Edit' from the 'Rental Management' list. The modal window now displays the author, title, and ISBN information from the previous screen, making it easier for users to know which book they are editing.
Purchase Orders
Suppliers
Improvements ensure the relevant information from a Supplier’s profile is automatically populated and displayed correctly on the PO creation screen.
Ship By Preference and Ship By Service Level fields are now automatically populated to match the chosen Supplier on Add/Edit Purchase Orders.
If the chosen Supplier has no preferences selected, the Ship By Preference and Ship By Service Level fields will remain blank.
When a different Supplier is selected, the Ship By Preference and Ship By Service Level fields will change to match the new Supplier upon saving the PO.
This makes it easier and more efficient for users to create POs and helps ensure that orders are fulfilled according to the preferences of the selected Supplier.
Matrix Items
Variants for Matrix Items listed on a PO are now showing with the Size label changed to “Variant 1” and the Color label changed to “Variant 2”, matching the current product lookup. Catalog number now remains visible after saving the item. Previously, incorrect variant information was being displayed on the PO grid after saving, and the Catalog number was disappearing entirely.
Miscellaneous Improvements and Fixes
Customer Search
A bug fix has been deployed to address the root cause of the issue, resulting in more performant searches and selection of customers. Previously, when searching for customers in relevant areas of Mosaic, the performance was slow, sometimes resulting in errors.
Mosaic Tenant Creation (Internal Use)
Additional setup steps for creating new Mosaic tenants have now been automated, further improving integration efficiency. This ensures gift cards are able to be created upon tenant creation and saves time and effort when setting up Mosaic systems.
Product Barcodes
Implemented a fix that ensures that when a product is deleted from Mosaic, its barcode is excluded from search for active products. This allows the reuse of a barcode that was associated with a deleted product without conflict, while keeping historical records in-tact.
