Sending Want Lists via Easylink – Cascading Manually
The PrismCore system allows you to cascade Want lists to multiple vendors by manually cascading the lists.. Cascading want lists means you send the first want list to the first vendor, and get the response back. When the response is back, you then send another want list to another vendor, with quantities that reflect the amount needed, less any quantities the initial vendor has promised, based on their response.
To send manually cascaded want lists through Easylink:
- Access the Want List module.
- In the Want List Module, create a want list for the current or future textbook term.
- After generating and reviewing the results of your want list, you must decide which vendor you will be sending the initial want list to.
- In the Vendor field of the want list, click the Ellipsis button to select the vendor to which you want to send the want list. A 'Select Want List Vendors' dialog opens:
- Click the New (Insert) button. Select the vendor from the 'Find Vendor' dialog that opens. Click OK to close the dialog.
- To schedule the first message, click on the hammer and select 'Send...'
- The following screen appears:
- The Document field will default to the want list on your screen. If another want list needs to be selected, click the ellipsis next to the Document field and choose the want list you wish to send.
- Click Next.
- The following dialog displays:
- Choose the book type:
• New only
• Used only
• Either - Choose the order type:
• Quote
• Order and Ship ASAP
• Order – Bin and Hold - If choosing to Bin And Hold:
• Select a Ship Date, and check the box if you want the company to rework the order. If so, input how often you wish the company to rework the order (as shown below). - Input a header or footer, if needed.
- If you would like the company to quote additional titles, check the 'Quote Additional Titles' checkbox.
- Select Next.
- If you wish to track the incoming response via a PO in the system, leave the box marked "Track on PrismCore POs" checked. If not, uncheck the box and click Submit.
- If you are tracking the response, you need to decide whether to create a new Purchase Order or use an existing Purchase Order.
- If you choose to create a new Purchase Order, select the Create New button. After the proper selections have been made, click Submit.
- If you choose to use an existing Purchase Order, select the Use Existing button. Use the ellipsis to locate a proposed PO for the vendor that you want to use to tract the wantlist responses on. After the proper selections have been made, click Submit.
- After setting your Track on PrismCore PO selections, select Submit.
- When a response is received from the first vendor in your lists, you then need to cascade the list to the next vendor.
Cascade to the Next Vendor:
- Access the Want List Module.
- Access the original want list you sent.
- In the Vendor field of the want list, click the Ellipsis button to select the next vendor to which you want to send the want list. A 'Select Want List Vendors' dialog opens:
- Click the New (Insert) button. Select the vendor from the 'Find Vendor' dialog. And remove the initial vendor.
- Click OK.
- Click on the hammer and select Generate Want List... This will update the titles and quantities based on the current Open To Buy.
- Click on the hammer and select "Send…"
- Repeat the steps above to send the message, and to cascade to any remaining vendors.
