Email Text Tab - Store Managed
There are three templates for emails that can be sent to rental customers. They are maintained on the Email Text tab of Rental Configuration. The text of these emails is determined by you and can be edited at any time. Emails can be sent to all students with outstanding rentals or to individual students as necessary.
With each template, you should compose the appropriate message. When sent, email messages go to the email addresses provided by customers when books are rented. The email includes a list of outstanding rentals.
Autho Failed
This template is used for the emails that are sent to students when the rental guarantee tender fails when processing billing for rentals not returned.
Reminder
This is the template that is used when emails are sent to thank students for renting and to remind them of the date that rentals are due back in the bookstore. You can send reminders more than once, if desired, and edit the text as appropriate. Keep in mind, however, the more emails sent, the more likely students may eventually ignore later emails.
Replacement
The Replacement template is used for emails that are sent when students are charged for rentals not returned. The text of this email should inform students that rentals weren’t returned by the due date and per the terms of the rental agreement, they have been charged accordingly.
Step-by-step instructions to enter or edit Email Text
- Access Rental Number Maintenance (Ctrl-J 1012).
- Select Rental Configuration from the Hammer options.
- Click the Email Text tab
- Select the Email Type. The default is Reminder.
- Type the message. It is not possible to change the default font or to use bold or italics to emphasize words or phrases. Outstanding rentals or the books charged to the student will be automatically included at the bottom of the appropriate email.
- Click OK when done or begin again with step 4 to select another Email Type.
There is only one template per Email Type. If you need more than one email text for the same Email Type, you may find it useful to write the messages in a word processing document, then copy them into the template as needed.
