Term Naming Systems

The three parts of the eight character terms are: 

  • Year – all four digits

  • Sequential letter – A thru Z. 

  • Campus Abbreviation – 3 characters.  i.e. MSU or HSC. 

 

In determining how to name your textbook terms, the three methods you can choose are: 

  • Calendar year 

  • Academic year

  • Fiscal year

 It is important to define your term sequence letters for the year because terms for each campus must be opened and closed in sequential/alphabetical order. 

Add Term

  1. Select + Add from Terms screen.

     

  2. Select Campus from drop down. 

  3. Click into field, use calendar to select Class Start Date.

  4. Add Term Description.

  5. Enter Year and Sequence.

  6. Select Save.

Campus

What campus is term for?

Class Start Date

The date the term begins.

Description

The term’s description. This will be seen by customers on shelf tags and on the website so should be something they will understand. For example, Fall 2024.

Year

4 digit year for term.

Sequence

Single alpha character for term.

Add Term Details

  1. Make changes as necessary. Review definitions below for more clarity.

  2. If applicable, select Online Sharing dropdown and change from None to Sales Open (or View Only). Online Sharing Start/End Date will open, input dates for when the Term will be available online.

  3. Drag term(s) to left for Post Sales.

  4. All Academic Departments associated with the campus are added to the term and checked as active.  Deselect any departments that will not be used for this term. Allocation percentage defaults to 100% but is editable.

  5. Select Save.

 

 

 

 

 

 

Note: If an Academic Department is missing, make sure it’s attached to the Campus being used.

Class Start Date

Date class starts.

Class End Date

Date class ends.

Description

Description of term.  For example, Fall 2024.

Reservation End

Last date for reservations.

Buyback to Subtract

None, Estimated, or Actual. ( You can change this later. This will factor into your order decision calculation.)

Returned Rentals to Subtract

None, Estimated, or Actual (Only available if Rentals are enabled on term in Rentals Tab)

Subtract Order Short

Check to subtract, uncheck to ignore order short in the order decision calculation.

Post Sales

Term(s) on left are active for sales posting. If multiple terms are set for sales posting, arrange them in the order you want sales posting if a book is on multiple terms.

Academic Departments

All Departments attached to the campus are added and default as active. Uncheck any that will not be used for this term.

Allocation Percentages

Change if desired. (Percentage of books you want to supply, typically 100%)

Online Sharing

None - Does not publish term online. It is the default value when a new Term is created.

Sales Open - All products in a course request allowed to be published to the website are visible and available for sale.

View Only - All items in a course request allowed to be published to the website are view only. All product information and pricing show just as they would if you were purchasing the product, but you cannot add it to a cart.

Closed - This value is to be set when the Term is deemed closed.  On a closed term, the user can select either None or Closed. The term is not shown on the website.

Online Sharing Start/End Date

Select date range for this Term to be available online.

Rentals Tab - Terms

To enable Rentals on this term, go to the Rentals tab.

Note: Rental Agreements are set up in the POS Admin Tool.

  1. Select the Enable Rentals toggle to enable.

  2. Select the Rental Agreement from the dropdown. If there are already rentals enabled, the Rental Agreement being used will default in.

  3. Fill in the Rental Term Setup as defined below.

  4. Select Save.
    Note: To make a book a rental, you must do so in Rental Management in Course Materials. The book must be on a term with Rentals enabled.
