The setting up of the sales tax windows is a sensitive task. If taxes were working
correctly for you, it would be unwise to make changes. If taxes don't seem to be working now, please contact WinPRISM Support.

Item Tax Types


For most locations in the United States, all that will be needed is Taxable and Non-Taxable. Some locations will need to allow for Non- Taxable, and two or more Taxable groups (such as textbooks being taxed at one rate and food items being taxed at a different rate). In other countries, there may be additional factors to consider, so we would advise users in other countries to consult with WinPRISM Support prior to making any changes in this area.

Tax Tables




In some states, sales tax can be calculated as a percentage of the purchase amount and it all works out just fine. Other states have dictated levels the next penny of tax will be assessed, regardless where that level should be based on a percentage. As an example, at a 5% sales tax, a 25¢ item should cost a customer 26¢, but those states have dictated that the first penny will not be charged until after the first quarter of a dollar. In the CBMS Point-of -Sale systems, a tax table can be defined to allow for this.

Tax Codes



Tax Codes are the different taxes you can charge. Although you can define a different tax code for State, County, City, etc. and group them all together, most stores prefer to define one that is the total for all the taxes that apply because it provide a nicer looking receipt. That way they don't have to add each of the taxes from the reports to come up with one total for the tax office they report to.

Tax Rate

The tax rate this tax code is to assess.

Rounding Method

The rounding method (Normal, Up, or Down) to be used.

Tax Table

If a tax table needed to be defined to comply with your state's taxing,
identify the tax table here using the ellipsis to get a select list.

State

Identify what state the tax is being charged in.

Country

Identify what country the tax is being charged in.

Begin Date

Most stores will need to leave this at the default of 01/01/70 so
WinPRISM POS will assess the correct tax on all purchases regardless of when the transaction occurs. However, if your sale tax changes during a portion of the year, on items you will be selling in your store (as New York has had a week of zero taxes charged on Back-to-School


 

items in the fall), this is where you define the beginning date when this
tax code applies.

 

End Date

Most stores will need to leave this at the default of 01/01/70 so
WinPRISM POS will assess the correct tax on all purchases regardless of when the transaction occurs. But, if your sale tax changes during a portion of the year, on items you will be selling in your store (as New York has had a week of zero taxes on Back-to-School items in the fall), this is where you define the ending of when this tax code applies.

Select Tax Bracket if this Tax Code will require a Tax Table.
See Tax Table in this document.

None

 

Select None if no Tax Table will be required.

Tax Shipping

Placing a checkmark in this box will cause WinPRISM to tax shipping
charges for transactions that are processed through the Mail Order module, once that capability is implemented.

 

POS Code

Fill in a unique, none zero number for this tax code.

 

Tax Code Groups


The Tax Code Group defines which Tax Codes are grouped together to apply to the sale of an item.
Add a new Tax Code Group or click on the Quick Results button (small binoculars) to select a tax code group you wish to edit or view and you will get a window similar to the one on
the right.
The "grayed out" fields are fields that were defined in Tax Codes and are not intended to be edited here.

Location

The WinPRISM ICS store location.

GL Code

Only used by stores using General Ledger. This is where the GL code
that applies to taxes can be selected.

WebPrism

Placing a checkmark in this box will cause WinPRISM to tax shipping
charges for transactions that are processed through the WebPRISM
module, once that capability is implemented.

Disable

Place a checkmark in the box in this field if you want to disable this Tax
Code Group.
