The Home Screen has six general areas. For details on each area go to the page listed after each area.

  1. Menu Buttons

Menu Buttons– 1

In the upper right corner 5 buttons display: Sales, Tools, Manager, Logout, and Exit.
Whichever button is currently selected will have white font and outline with blue background:

Sales

Default selection upon logging in. Sales is where the majority of activity will occur. From transactions to customer look up.

Tools

There are 5 sub screens under Tools: Tasks, Reports, Sync, Hardware, and Server. The rights associated with your login will determine what you see when selecting Tools.
Tasks options may include No Sale, Register or Unregister Device, Version, and Test Scale. Reports options may include Cashier Totals and Register Totals. Sync may include Upload Transactions and Sync Inventory. Hardware options may include Cash Drawer, Line Display, MSR, Printer, Scale, and Scanner. Server will include Server Info.
On a daily basis you will only need to access the Tools Button for No Sale, to open the cash drawer, or for printing either the Cashier Totals or Register Totals Reports.
Other options, under the tools button, are only be used at the direction of POS Support who will assist you when you have questions about these processes.

Manager

Select Manager when a needing a Manager Override. The Manager Override dialog box displays for the entering the appropriate credentials.

Logout

If you want to log out only so another cashier may log in, select Logout.

Exit

To logout and quit the program, select Exit.

Transaction Details – 2

As the transaction proceeds, items display in the Transaction Details listing Item Description, Qty, and Price. The Subtotal and Tax display in the lower portion of the Transaction Details.
Several buttons in the lower portion of the Transaction Details area help with the transaction: Delete, minus sign, plus sign, up and down arrows, and Pay.

Delete

When you want to delete a single line from the transaction. Select the item and then select Delete.

Minus and Plus Signs

To increase or decrease the Qty, select the appropriate sign. The Qty will not go below 1.

Up and Down Arrows

If there are more items on the transaction than can display at once, use the up and down arrows to page through the transaction.

Pay

Shows the current total of the transaction. Select this button to move to selecting a tender and completing the transaction. For more details on completing various transactions, see the PrismPOS Transaction Reference Guide.

Transaction Buttons – 3

Transaction buttons impact the transaction in various ways. The action is always taken on the current transaction. Until a transaction begins the buttons are grayed out.

Details

Enter Tax Exempt information or enter Sale Note. The information saves as part of the transaction and prints on the receipt.

To view these notes later:

  1. Access PrismCore Admin > POS > Maintenance > POS Transaction Inquiry.
  2. Search for the Receipt Number.
  3. Locate the Note column.
  4. Click the yellow cell.
  5. Review the notes entered.



Trans.(action) Discount

Displays available transaction discounts. Select the discount from the buttons. If there is more than one page of discounts use the Next button to locate the discount you want to apply. If you move to the next page the Prev(ious) button displays in the top left corner, allowing you to move back a page.

Once the discount is applied, it displays in the Transaction Detail with the Subtotal and Tax.

Suspend

Select this option to suspend the transaction. Suspending a transaction allows you to re-access it at a later time for completion.

Cancel

If you need to cancel the entire transaction, select Cancel and Yes. The entire transaction will be cancelled.

Details Frame – 4

Defaults to the Quick Menu. From here scan any item or select from the Quick Menu to begin the transaction. Depending on the Transaction icon selected, as well as where you are at in the transaction will determine what displays in the Details Frame. See Transaction Icons for more information about what displays for the different selections.
When a line in the transaction detail is selected details about the line will display in the Details Frame.

From this Details Frame you may select one of the 6 buttons, as well as enter a different Quantity directly into that field.

Details

Displays Item Details about the item selected.

Edit (Price)

Select this button to enter or remove Price Overrides. When you apply a Price Override you may also indicate if the item should be part of further discounts through Item Discounts or Transaction Discounts with the Apply Discounts option.

Edit (Item Discount)

Use this option to apply a discount to selected item, only. The Item Discounts dialog box displays. Select the item discount from the buttons. If there is more than one page of item discounts use the Next button to locate the discount you want to apply. If you move to the next page the Prev(ious) button displays in the top left corner, allowing you to move back a page.


Once the discount is applied, displays in the Transaction Detail with the Subtotal and Tax, even though it is only for that item. The discount selected will display in the discount line of the Details Frame.

Edit (Taxes)

Selecting this option allows manual changes to the default tax on the item currently selected in Transaction Details.

Refund Item

Selecting this option, changes the Quantity, on the item currently selected, to a negative. At this point using the plus sign in Transaction Detail will increase the negative quantity. The minus sign will decrease the negative quantity but not allow it to go positive. To change the refund back to a sale, select Refund Item again or manually change the quantity in the Quantity field in the Details Frame.

Edit Notes

Enter notes specific to the item you want to display on the receipt. The notes will display on the screen, saves as part of the transaction, and prints on the receipt.

Transaction Icons – 5

Selecting different transaction icons changes what displays in the Details Frame. Upon logging in Quick Menu is selected by default. The selected icon has a white bar the displaying below the icon.

Quick Menu

Selected by default upon accessing the program. Various processes/items are available to add to the transaction from the Quick Menu, such as Non-Merchandise, Pay Ins, Pay Outs, Quick SKUs, Gift Cards, and Made to Order. For more details on using the various Quick Menu options see PrismPOS Transaction Reference Guide.

Items

Allows you to search for items with a variety of methods. This is helpful if the item you need to add to the transaction does not have a barcode to scan.
Once you locate the item, select the item by double-clicking or highlighting and selecting Add to transaction.
The Items Search area consists of eight areas:

  1. Items field, in which you type the data to search by.
  2. Search Type field, which provides different field types to search on.
  3. The Search button to initiate the search.
  4. The display area where the items are listed. No more than 100 results will display.
  5. Number of results.
  6. Left and right arrows, to page through results.
  7. 2Page you are on and total number of pages in the results.
  8. Add to Transaction button.

Customers

Locate or add a new customer by selecting the Customers icon. Certain transactions require a customer. For example, AR and rental transactions.
The Customers Search area consists of eight areas:

  1. Customers field, in which you type the data to search by.
  2. Search Type field, which provides different field types to search on.
  3. The Search button to initiate the search.
  4. The display area where the customers are listed.
  5. Number of results.
  6. Left and right arrows, to page through results.
  7. 2Page you are on and total number of pages in the results.
  8. 1New Customer, Show Details, and Add to Transaction buttons.

New Customer

To add a new customer, select Customer and then New Customer button. The Enter New Customer Information dialog box displays. Enter the appropriate information and select either Save & Close or Save & Assign (to add the new customer to the transaction). Show Details

After searching for and selecting an existing customer, select Show Details button to see details about that customer. To edit customer detail, select Edit. When done select Save & Close or Save & Assign. For more details on editing a customer, see PrismPOS Transaction Reference Guide.

Receipts

Locate receipts for reprinting, printing gift receipts, or resuming suspended transactions.
The Receipts Search area consists of nine areas:

  1. Receipts field, in which you type the data to search by.
  2. Search Type field, which provides different field types to search on.
  3. Location field, which works in conjunction with Search Type.
  4. The Search button to initiate the search.
  5. The display area where the receipts are listed.
  6. Number of results.
  7. Left and right arrows, to page through results.
  8. Page you are on and total number of pages in the results.
  9. Depending on type of receipt: Print Receipt, Print Gift Receipt, Email Receipt, Show Receipt buttons.
    1. Return to Sales button displays, if a regular (not suspended) receipt is displayed and Receipts is selected again.
    2. Suspended transactions, Resume displays, instead of Show Receipt. .

Regular Receipt Search Buttons


Print Reciept

Selecting automatically reprints the currently selected receipt.

Print Gift Reciept

Selecting automatically prints a gift receipt.

Email Receipt

Selecting prompts for email to be entered. If a customer is attached to the transaction and an email is on file for that customer, that email is displayed by default and may be changed.

Show Receipt

Displays receipt in Transaction Details. You may use the buttons to view Trans. Details, Refund All, or select an item to Refund Item.

Suspended Receipt Search Buttons

Same as regular buttons except Resume.

Resume (Suspended Transaction)

Selecting Resume, displays the transaction in its original form, before Suspend, allowing you to take next steps, such as cancelling, completing, or re-suspending.

Balance

Select and search by Customer, Gift Card, or Tender to display the balance.


Selecting Tender requires further selection of the type of tender.

Status Bar – 6

The Status Bar displays at the bottom.
The left side displays the current User, Register, and if a transaction is in progress, Receipt.

The right side displays the current Version for the register client.

Additionally if the register is in Offline Mode or a Manager Override is active, that information also displays in the status bar.
