PDA Purchase Module
This module allows the user to create purchase orders by scanning or entering a barcode into the PDA. After scanning or entering a barcode, the PDA displays the product information and prompts the user to enter a quantity to order. The user can then use this information to create purchase orders from the PrismCore Autogen Purchase Orders module.
To use the Purchase module on the PDA:
From the PDA Main Menu, click the Purchase module.
The Purchase module will open one of the screens below:
If the Purchase screen is shown, the PDA is configured and logged into PrismCore as the user named at the bottom of the screen. In the above example, the user “wpadmin” is logged into the PDA. Click the Purchase button to begin
or press the Configure button to change the settings or to login as a different user.
If the Login Configuration screen appears, fill in the information as needed:
Host - The PrismCore SQL Server IP address
Port - The port as defined in WPServer
User - A PrismCore user name login
Pass - The password for the usernameRetain Password – If checked, the password will be saved in the PDA until otherwise changed. If the PDA has its own login, this checkbox should be checked. If each user of the PDA uses their own PrismCore password, then this box should be unchecked for security reasons.
NOTE: By selecting after all pertinent information is entered, this will automatically fill in the same information for the other PrismCore PDA applications installed on the PDA.
After entering the data into the Login Configuration screen, click OK. The PDA should login using the Login Configuration. Press the Purchase button to enter the module.Scan the item to be looked up. Either the XREF or SKU may be used. The PDA may process for a moment, then the correct item’s information should show at the bottom of the screen.
NOTE: Depending on the speed of your wireless network, the processing time may vary. If the PDA is still processing or transmitting data, an “I” will show in the top, right corner of the PDA screen.
NOTE: If the item scanned is a textbook, the item will default to show either the New or the Used SKU depending on what was actually scanned. To view Lookup information on the other SKU click the New/Used Textbook field to switch to the other item when necessary.
Enter the quantity to order in the Qty field.
Click Update after they quantity is entered if everything looks correct. If the item should not be updated, click the Clear button to return to a blank Purchase screen without updating the record.
Scan the next item (Step 3) and enter the quantities until done adding items to be ordered.
When ready to create the Purchase Orders, open the Autogen Purchase Orders module in PrismCore.
If needed, create a new Autogen Record by pressing the Insert Record button. The flag Include Items from Mobile needs to be checked in order for the Autogen process to add the items added using the PDA. Once this flag is checked the filed to the right of it becomes active where you can choose to include items scanned with the PDA from all users or one particular user based on their login information when using the Purchasing module on the PDA. If this checkbox is active, all items that have been marked to be ordered with the PDA, by the user indicated, will have POs created for them. All other options available in Autogen (DCC ID, User List, Order Decisions, Mail Order Backorder amounts, etc.) will also be ordered in addition to the PDA Autogen items. Preview the Autogen Proposed Orders report if desired. To run the Autogen process, click the “Start Autogen” button. After the Autogen process is complete, the orders can be reviewed, edited, and printed in the Proposed Purchase Orders module.
NOTE: If a General Merchandise item is scanned and it is set up in Item Maintenance to be purchased as more than one in a package (i.e. a jar of 260 items, box of 10, dozen, etc.), the quantity entered will order the item based on the package type.
Purchase – Lookup
When an item is scanned for purchase and the item information is displayed on the PDA screen, is displayed on the right side of the screen. You can touch this button to see detailed information about the item, if desired.
Once in Lookup, you can touch P to display product information or I to display the inventory information. With both types of information, you can use the scroll bar on the right side of the screen (or press the scroll buttons on the top of the PDA) to view more information. When you are finished reviewing the information, touch OK to return to the Purchase Screen.
