The Purchasing application allows you to enter proposed order quantities to upload to your inventory control program, through the Autogen PO feature. After using the Purchasing application on the iPhone, you must go to your inventory control software and create the orders using the Autogen process.

How to Use Purchasing

Touch the Purchasing icon.

If necessary, touch the Location to change location. 

Open

Scan the XREF/SKU or enter the XREF/SKU using the keyboard. If searching for a book, you can also enter the ISBN.

Scanning a General Merchandise Item

The item will appear on the screen.

The order quantity will default to 1. Enter the quantity you wish to order. When the quantity is correct and you want to transmit it to PrismCore, touch Update. If you wish to clear the information without transmitting it to ICS, touch the X.

After you touch Update, the screen clears and returns to the XREF/SKU field.

Reminder:     Touching Update does not automatically create a proposed order in your ICS program. You must access your ICS program and perform the necessary function to accept information from the iPhone for proposed orders.

Scanning a Textbook/Tradebook

If the item is a textbook, the item will default to show the item record for whichever text was scanned, i.e., new or used. In the sample screen, the XREF for the new book was entered.

For PrismCore, you can toggle between new and used. To switch to the other SKU, touch the New/Used buttons to select the record you wish to view. Once selected, information for the item will display.

When you have the record that you wish to order on the iPhone screen, enter the order quantity in the Qty field. Touch Update to send the order information to PrismCore. If the information is incorrect, touch X to remove the data from the iPhone without transmitting it.

After the order quantity is entered, the XREF/SKU field will appear. You can proceed with entering the next item to be ordered.

Processing the Orders

When you are done ordering on the iPhone, touch Back.  To process the ordered created the iPhone, access your ICS program. Use the option “Include items from iPhone” at Autogen Proposed Orders.

Purchasing – Lookup

When an item is scanned for purchase and the item information is displayed on the iPhone screen, a Details button is available on the bottom right side of the screen. You can touch this button to see detailed information about the item, if desired.

In Details view, touch the Item or Inventory buttons to choose which detail to view. With both types of information, use the scroll bar on the right side of the to view more information. When finished reviewing the information, touch Back to return to the Purchasing Screen.

Note:       The Details function at the Purchasing screen is a shortcut to the Lookup application. During purchasing, for example, it may be helpful to see current SOH or the last inventory date of an item. For more information on the Lookup module, refer to the Lookup section of this document.
