Tender Dialog in Mail Order

Tender dialog can be found in the mail order tender tab. Right clicking and choosing tender dialog from the mouse menu accesses the dialog.   The tender dialog has to be used when there is a tender with that meets the following criteria:

A/R Tenders:

  1. A/R Account is tax exempt

  2. A/R account has DCC limitations

  3. The Customer has balances in more than 1 A/R Account

  4. Fixed Membership Discount

Other Tenders:

  1. You need to do manual Tax

Basically when doing a mail order in PrismCore, if there is an A/R tender and it does not have any of the listed properties, you can just go to the hammer and process the order. If the A/R account does have one or more of the listed properties, then the tender dialog must be used.  If you try to process with the hammer, it will prompt you and tell you that the tender dialog must be used. At that point, you just right click and choose tender dialog from the mouse menu when in the tender tab.  You will then tender out the order as needed.  Note that that you can add A/R tenders in the dialog if need, but you cannot enter a credit card while in the Tender Dialog.  Once the order has been completely tendered out, click OK on the tender dialog and process the order as usual.

If you are trying to do manual tax, it must be done through the tender dialog.  The tender amount has to 0.00 and it cannot be a tax-exempt order. If there is an amount tendered, the manual tax checkbox will be disabled.  Simply changing the total to 0.00 will enable the checkbox.  Once the checkbox has been checked, you can manually enter the tax in the tax field directly across from the checkbox.

Then you may enter tender totals.

Example 1: A customer places an order for two items, one of which is a GM item, the other of which is a text item.  The customers A/R account only allows them to use funds for Text items, and is a tax-exempt account.

Add the Tender:

  1. Right-click on the tender tab, and choose ‘Tender Dialog’

  2. The ‘Tender Dialog’ appears.  If the customer has an A/R account, the information will be filled in automatically.

  3. Input a secondary tender for the items the account is NOT able to used to purchase.

    1. Click the ellipses next to ‘Tender’

    2. Choose the tender type.

    3. Click off the line to save.

    4. Click OK.

 Example 2: A customer comes in who is paying by credit card, but you need to apply a manual tax to the order.

 Mail Order (Before Tender):

Tender the order normally:

Add the Manual Tax:

  1. Right-click on the tender tab, and choose ‘Tender Dialog’

  2. The ‘Tender Dialog’ appears.

  3. To alter the manual tax, you must first make the total $0.00.  Thus, you have to first blank out the Total line of the Visa tender.  Notice that when you do, the ‘Manual Tax’ box is available.

  4. Check the Manual Tax box, and input the amount of tax.

  5. Input the new total for the order into the Total field of the Credit Card line.

  6. Click OK.

  7. A prompt will display, asking to input the Manual Tax Code.  Choose the code that applies, and click OK.
