Rental Fields in Order Decision Maintenance - Partnership 2

The fields in the Order Decision Maintenance module used for rental information are: Rental New, Rental Used, New Rental Sales, Used Rental Sales, Estimated Rental Returns, Actual Rental Returns, and Rent Only. Quantities for Store Managed rentals appear in the Rental New and Rental Used fields. Quantities for NBC Partnership 2 rentals appear in New Rental Sales and Used Rental Sales, they are also a part of the Sales New and Sales Used figures.

Order Decision Configuration

By default, the fields appear at the bottom of the detail grid.  Use Order Decision Row Configuration under the Hammer to move them up in the detail grid, if desired.

Rental New and Rental Used

‘Rental New’ and ‘Rental Used’ display quantities rented for a Store Managed rental title for the rental period(s) associated with the term.  These quantities are the total quantities rented, not current outstanding.  If 100 new copies are rented and 95 of them are returned by students at the end of the rental period, the Rental New field shows 100.  This historical information can be used as a reference when making order decisions for future terms.

New Rental Sales and Used Rental Sales

‘New Rental Sales’ and ‘Used Rental Sales’ display quantities rented for a NBC Partnership 2 rental title for the rental period(s) associated with the term.  These quantities are the total quantities rented, not current outstanding.  If 100 new copies are rented and 95 of them are returned by students at the end of the rental period, the Rental New field shows 100.  This historical information can be used as a reference when making order decisions for future terms.

Quantities are written to these fields when sales are posted, not as books are rented.

NBC Partnership 2 Rentals

NBC Partnership 2 rentals are sold to NBC at the time of rental.  As a result, NBC Partnership 2 rentals are recorded in two fields at Order Decisions: the sales fields and the rental sales fields.

  • Sales New/Sales Used reflect both the number of copies sold and the number of copies rented as NBC Partnership titles.  Stock-on-hand is affected by the numbers posted here.

  • New Rental Sales/Used Rental Sales reflect the number of rentals that were included in the sales.  This quantity can be used for reference when making order decisions for future terms and deciding what to rent.

  • Neither sales or rental quantities are included in the textbook order equation and neither affect the Open To Buy.

 Example:  If 25 copies are sold and 20 are rented as NBC Partnership 2, the sales fields will show 45; the Rental fields will show 20. 

Store Managed Rentals

When a Store Managed title is rented, it is recorded as a rental and not as a sale. The rental fields in Order Decisions will track the total number rented and posted to a term.

 Example:  If 30 copies are sold and 15 are rented, the sales fields will show 30; the rentals fields will show 15. 

Rent Only

This field is used in communication with WebPRISM.  If a title is to be available on the web for rent only and cannot be purchased via the web, check this box.

When this box is checked, the title will display available for rent with rental prices on the web, but no purchase option will be listed.

This prompt does not affect rentals in store.  The title can be either purchased or rented via a POS/cash register transaction in the store.
