Inclusive Access Import

To import sales files for Inclusive Access, follow the steps below. This import is available with PrismCore v28.2.57 and higher, and is designed to allow you to create sales or refund records within PrismCore for items sold with an Inclusive Access program.

This import does the following within PrismCore:

1. Creates a transaction record for each transaction.
2. Creates a sales record for all transactions.
3. Debits the A/R account used, if an A/R tender is used
4. When sales are posted, stock on hand for those items is adjusted.

To do an Inclusive Access import:

1. From the hammer option in AR Transaction Inquiry (PrismCore Jump 4111) OR the hammer option in POS Transaction Inquiry (PrismCore Admin Jump 311) , choose 'Inclusive Access Import'.



2. In the next dialog, choose the appropriate POS system, and the register you wish
to 'use' to import the file.



3. You will then choose the import file. The file format for this needs to be a CSV
file in the following format:

 Customer Account ID (can be blank if Tender field used)
 AR Account (can be blank if Tender Field used)
 Tender Name (can be blank if AR account used)
 SKU
 Description (if blank, will use SKU's description)
 Price (if blank, will use inventory retail as price)
 Tax (if blank, will calculate taxes)

The import should have each item of a transaction on a separate line, so if there are five items on a transaction, there will be five lines on the import.

NOTE: Transactions can only be imported when the store is open, so that transaction totals can be configured in with the daily reports.

The Customer, AR Account, Tender fields can be repeated for transactions with multiple SKU's.

The Customer, AR Account, Tender, and SKU must all be valid.

The transaction number generated will use the POS system's sequence series, but with a '-IA' added to the end. So, for example, if the sequence series for the "North" location is N#######, the system will pull the next number in the series, and use that plus an –IA (N-0000008-IA).
