Loading MBS (Missouri Book) Buyer’s Guide in PrismCore

(Load Book Database - Ctrl+J 134)

Loading the Missouri Book database allows you to buy back books using guide data from MBS.  You cannot adopt titles into your textbook file from these databases.

 

Each time a new book database is produced by Missouri Book, you should obtain a file from the wholesale company for which you wish to load a database.  Once you have obtained the file, you will use the Load Book Database module to load the new file into your WinPRISM system. You will need to run WPAdmin as an administrator.

 


NOTE:  You must post buyback totals for books bought using the currently loaded book database, prior to loading a new one.  If you try to load the new book database when there are unposted buyback items for the current database, a warning message displays, similar to the following:  "Unposted buyback items exist for these sessions: '<session><guide>".  You will not be able to load the book database until you post the buyback totals.

 

If you post the buyback totals, but do not close the buyback session, then attempt to re-load the new book database, an informational message displays, similar to the following:  "An open buyback session exists. Do you want to continue to load the <> guide?"  If you answer "Yes", the database can be loaded.


 

To load the MBS database:

  1. Access the Load Book Database module.

  2. Locate the record for which you would like to load a new guide.  The module automatically opens to the Nebraska Book Buyer's Guide information.  To get to other records, you must click the ‘Next Record’ button until the screen displays the Book Database you will be updating.

  3. The version label, version date and expiration date of the last guide that was loaded appear in the 'Current File' frame.  The other settings for the other functions in this screen are from when you last loaded the database.

 

4. If the Wholesale Sales Vendor has not already been set, select the vendor code for your wholesale buyback vendor from the Ellipsis button (…).

5. Click the box marked ‘Set Default Commissions’.  

6. The ‘Commission Percentages’ dialog will display.

 

7. Type in the commission percentage you expect to receive from this vendor for each of the types of books specified.  When finished, click OK.

8. Place the file into the drive of the workstation from which you plan to load the buyer’s guide update. This does NOT have to be the WinPRISM server.

9. Choose the loading option marked ‘Load New Database From File’. You will need to check this radio button, and then type in the file path and name for the Buyer's Guide file (e.g. E:\Blubook.txt for the Missouri Book guide) or click the Ellipsis button and select it from the explorer window that opens.  

10.Alter the expiration date to reflect the true expiration date of the guide you are loading.  This step must be done manually for the Missouri Book guide.

11. When the above has been completed, click the ‘Load New’ option.
