Sale to Wholesale

A Sale to Wholesale is a type of credit request for books, usually overstock you can’t return, that you are selling to a used book wholesaler using their Buy Guide prices.

On the Sale to Wholesale homepage, utilize the status checkboxes or search bar to locate existing Sale to Wholesale records.

  1. Select +Add to create a new Sale to Wholesale.

  2. Fill in the required fields as defined below.

  3. Select Add Product(s)

    1. If desired, use the “Show with Term” checkbox, then select which Term(s) you would like to view

    2. If desired, use the “Only show products with wholesale value” checkbox

    3. Use the checkboxes on the left of the product line to select desired products, then select OK to add.

  4. Products will display. If Show with Term was selected, term will display on product line.
    Otherwise, you are able to select a Term from the dropdown if applicable.

  5. Change Cost as needed, must be LESS than or equal to Cost provided. Note: If the request’s type is Wholesale, the guide’s buy price will fill in as cost. If the type is Speculative, the cost from Product Maintenance will fill in as cost and should be edited to what you are expecting the wholesaler to pay.

  6. Enter the QTY for each product line.

  7. When QTY is filled in, the Subtotal, Commission, Credit Due, Total New, and Total Used fields will update.

  8. When read to send, move into an Open status.

    1. All fields except Status and Postage (and products) will be unable to be selected.

  9. Export PDF to place in the shipment (view example below).

  10. When moved into Open status, Add Memo button appears.

  11. When you receive Memo from Supplier, select Add Memo.

  12. Fill in Memo fields with information you receive. Including Memo Amount. Then select Memo Details.

  13. In Memo Details, select Add Product(s). Add products.

    1. If everything was accepted, add all products, then select close. Then use the Batch Resolve button to automatically resolve all status’s and move Wholesale to a Closed status. (Note: Memo Amount must be filled in for it to associate the resolved Amount for each products)

    2. If you have Cancelled or Denied Qty’s, Enter those first. If you will write off a denied, use Write Off checkbox. Move the status to resolved for those lines. Then you can use the batch resolve to autofill the rest.

  14. Status will move to Closed when everything is in Resolved Status.

Wholesale Type

Wholesale: Select this if you have a buyer’s guide loaded for the supplier.
Speculative: Select this if you do not have a buyer’s guide loaded for the supplier.

Commission

Calculated using the new/used commission and new/used totals.

Supplier

Select supplier from dropdown list. If Wholesale was selected as the type, the only supplier available will be the one set as the Default Supplier in the Buyer’s Guide module.

Credit Due

Commission + Subtotal + Postage.

Wholesale Number

Created upon Add. Change if desired.

Total New

Fills in based on the QTY of new text added.

Status

Starts as Proposed. Change to Open when finished editing and ready to ship. The status will change to closed once the request is resolved on a credit memo.

Total Used

Fills in based on the QTY of used text added.

Create Date

Defaults to todays date.

Commission %

Set in the Buyers Guide module under Administrator.

Status Date

Once saved, today's date will fill in.

A/B

A/B commission (A/B is the most desired/needed from wholesaler)

Guide Date

Once saved, buyers guide version date will fill in.

New

New Text Commission

Resolve Date

For future use.

Subtotal

Cost x Qty totals of all products added.

Add Products

Select to Add Products

Postage

Add postage if requesting credit for postage from the wholesaler.

Select to Add a Credit Memo
